Terms of Service Vasiliadi BBQ

Please read carefully. These Terms of Service (“Terms”) govern all contracts, bookings and services provided by Vasiliadi BBQ (the “Company”, “we”, “us”, “our”) for barbecue catering, on-site barbecue events and related services in Amsterdam and elsewhere in the Netherlands. By requesting a quote, placing an order, paying a deposit or otherwise engaging our services you accept these Terms.

These Terms apply to all catering services, menus, events, on-site cooking, staffing, equipment hire, delivery, setup, breakdown and any additional services (together “Services”) that Vasiliadi BBQ provides. Any variation must be agreed in writing.

  1. Quotes are valid for the period stated on the quote (or 30 days if no period is stated).
  2. A contract is formed when we confirm the booking in writing (email or signed order confirmation) and we have received any required deposit.
  3. The Client is the person or entity that orders Services and is responsible for payment and for ensuring compliance with any venue or municipal rules.

  1. Prices in our quotes are quoted in euros and exclude VAT unless stated otherwise. Applicable VAT will be charged in accordance with Dutch VAT law.
  2. A non-refundable deposit of [xx]% is required to confirm bookings (amount shown on quote). The remaining balance is due as stated on the invoice (typically 14 or 7 days before the event). Late payments may incur statutory commercial interest and collection costs.

  1. Cancellations by the Client must be made in writing. Cancellation fees apply as set out in the confirmation — typically: full refund of deposit if cancelled >90 days, partial refund within 90–30 days, and higher fees for late cancellations. (Adjust percentages per your policy.)
  2. Changes to guest numbers or menu must be notified by the deadline on the confirmation. If changes are notified late, charges may apply for food purchased, staff and equipment reserved.

6. Client responsibilities (permits, venue, utilities)

  1. When an event takes place on public property, in a public square, or when special structures are needed, the client is responsible for securing any event permits, location permissions, object permits, temporary traffic measures, or similar approvals required by the Municipality of Amsterdam unless we explicitly agree in writing to handle these tasks. Notifying the city or applying for a permit is often required and can take significant lead time.
  2. If the event will include alcohol served to guests on the premises, the client must ensure an appropriate alcohol licence or that the venue holds such licence; if we are to provide alcohol, we will require written confirmation that the necessary permits or licences are in place. The sale/serving of alcohol in the Netherlands is regulated and may require an alcohol licence.
  3. The client must ensure access to utilities (water, power) and a safe working area for our staff. If power/water is unavailable or unsafe, we may charge for additional equipment or refuse to proceed if health & safety would be compromised.

7. Food safety, hygiene and legal compliance

  1. Vasiliadi BBQ operates in accordance with Dutch food safety law and maintains a food safety plan based on HACCP principles (or an approved hygiene code) applicable to catering and mobile food services. We implement temperature control, allergen management, and safe transport/cooking practices. The law requires catering businesses to document and follow HACCP or an approved hygiene code.
  2. The client must inform us in writing of any known food allergies, intolerances, dietary restrictions, or special requirements at least [X] days before the event. We will make reasonable efforts to accommodate but cannot accept responsibility for undeclared allergies.
  3. The NVWA supervises compliance with food safety rules in the Netherlands. We will cooperate with any official inspections.

8. Staffing, subcontractors and equipment

  1. We provide trained staff for cooking, service, and setup. Where needed, we may engage vetted subcontractors. The company remains responsible for the performance of any subcontractors we engage.
  2. All equipment remains our property unless otherwise agreed. The client is responsible for reasonable care of hired equipment; damage or loss caused by the client or guests will be charged.

9. Liability and insurance

  1. We maintain public liability and product liability insurance appropriate for catering operations. The client may request evidence of insurance prior to the event. [Insert insurer & policy number if you wish].
  2. Our liability for direct loss caused by our failure to comply with these terms is limited to the total fees paid for the services for the relevant event, except in cases of gross negligence or willful misconduct.
  3. We are not liable for indirect, consequential, or business losses; loss of profit; or losses caused by circumstances beyond our control (force majeure).
  4. The client is responsible for the acts of their guests, event organizers, and venue staff and for obtaining any venue insurance required by the venue owner.

10. Force majeure

We are not liable for any delay or failure to perform caused by events beyond our reasonable control (including but not limited to extreme weather, strikes, transport disruption, government measures, public health emergencies, and permit refusals). In such cases we will attempt to propose reasonable alternatives, and the client must cooperate. If performance is impossible, we may terminate and refund amounts paid less reasonable costs incurred.

11. Data protection and privacy

We process personal data (names, dietary requirements, contact details, invoices, photos for marketing, etc.) in accordance with the EU General Data Protection Regulation (GDPR / AVG). We will only process personal data for the purposes of delivering services, processing payments, marketing (with consent), and as required by law. We retain booking and financial records for statutory periods required by Dutch law (e.g., tax/accounting obligations). 12. Intellectual property, photos and marketing

  1. All materials, menus, photographs, and promotional content supplied by Vasiliadi BBQ remain our intellectual property. The client may publish photos taken by the client at the event, provided Vasiliadi BBQ is credited where practical.
  2. Unless you instruct us otherwise in writing, we may use non-identifying photographs from events for our marketing channels. If you require that we not use photos from your event, notify us in advance.

13. Complaints and food incidents

  1. Any complaint about the Services must be notified to our on-site manager immediately and confirmed in writing within 7 days after the event. We will investigate promptly and seek to resolve reasonably.
  2. In case of a suspected foodborne illness allegedly linked to our food, the Client must notify us immediately and cooperate with our investigation and any official enquiries (e.g., NVWA). We will preserve relevant samples and records for inspection.

14. Cancellation and event postponement by authorities / permits

If a local authority, municipality, or venue withdraws permission, refuses a permit, or imposes restrictions (including last-minute noise/public health restrictions) that prevent or materially impact the event, we are entitled to charge for services performed and reasonable costs incurred. We will assist the client in applying for or amending permits where agreed, but official approvals remain the client’s or venue’s responsibility.

15. Applicable law, disputes and consumer rules

These Terms are governed by the laws of the Netherlands.

For consumers, certain mandatory consumer protection rules may apply and will take precedence where required. For business bookings, any dispute will be submitted to the competent Dutch court or, where agreed, to mediation/arbitration.

Where applicable (e.g., consumer contracts), the statutory right to cancel offline or distance contracts applies as required by Dutch law.

16. Amendments to these Terms

We may update these Terms from time to time (for legal, regulatory, or operational reasons). The version posted on our website (with a date) is the version that applies to new bookings. Significant changes affecting existing bookings will be notified in writing where required.

17. Full agreement / severability

These Terms, together with the written confirmation and any agreed menus or attachments, form the entire agreement between the parties. If a court holds any provision invalid, that will not affect the remainder of the terms.
